Odoo Light User is a low-cost licence for staff who need only limited access to Odoo, such as logging their own leave and expenses, scanning stock, clocking into a POS session, or viewing a planning worksheet, rather than running core business operations.
It was introduced with Odoo 20 at Odoo Experience 2026, and it changes two things at once: what operational staff cost, and who counts as a billable user.

Since Odoo 20 launched the tier, the forums have filled with the same two objections.

On the official forum, when someone asked outright whether every employee in Odoo 20 is a Light User, the answer was a flat yes.
The second: the role is decided automatically from access rights, so one stray permission can quietly turn a cheap Light User into a full-priced one.
Supporters counter that the tier is long overdue and still far cheaper than giving everyone a full licence, which was the only real option before.
Both sides have a point, and the truth sits in the detail. Here are the seven things you actually need to know before these changes your bill.
The feature is genuinely useful, but it comes with a catch that has caught a lot of businesses off guard. Here are few things you actually need to know.
1. What is Odoo Light User, in plain terms?
It is a reduced-price user licence for employees who only need a small, defined slice of Odoo.
Until Odoo 20, every backend login counted as a full user, so a warehouse picker who only scanned stock cost the same as the head of sales. The Light User tier exists to price those limited-access staff fairly, at a fraction of a full licence.
Odoo now has four access levels: Portal (free, for customers and vendors), Light (low-cost, for limited internal staff), User (full price, for people who run the business), and Administrator.
2. What can a Light User actually do?
A Light User can handle self-service and front-line tasks, but not core business operations. Based on the published scope, that includes:
- HR self-service: submitting leave requests, filing expenses, viewing attendance
- Planning and worksheets: viewing planning and logging timesheets
- Point of Sale: logging into a POS register session as an operator
- Knowledge: read-only access to internal Knowledge pages

4. The first catch: one wrong access right makes them a full user
This is the catch that costs money quietly. Odoo decides whether someone is a Light User from their access rights, not from a label you pick.
If you grant a Light User any permission outside the Light scope, even a narrow one like Sales “Own Documents,” Odoo automatically reclassifies them as a full user and bills them accordingly.
So access rights are now a billing matter, not just a security one. Before you count someone as a Light User, test their real day-to-day tasks against the Light limits, and review access rights every time a person’s role changes.
If a change pushes you over your licensed count, Odoo gives a 30-day grace period to correct it before the extra users are billed.
5. The second catch: employees without a login now count too
This is the change that has surprised the most businesses, and the answer is unambiguous. Under Odoo’s updated Enterprise Agreement, any active record in the Employees app that is not linked to an active (non-portal) user account counts as a Light User, and is billed as one.

Employees with no login are Light Users; employees with a Light-role login are Light Users; only those with a full User role are full users.

Odoo Light User is priced well below a full user, roughly 80 to 85 percent less than a full Custom licence, which is what makes it attractive for the right staff.
The exact figure is a per-user, per-month rate on annual billing that differs by region and changes over time, so always confirm the current number for your country on Odoo’s pricing page rather than trusting a single quoted figure.
The saving is real where it applies. Moving genuine limited-access staff off full licences onto Light can cut thousands from an annual bill.
The cost risk is the opposite case: login-less employee records that used to be free and now are not.
7. Existing customers are partly protected, new users are not
If you are an existing Enterprise customer, you are unlikely to see the full jump immediately.
Odoo’s Enterprise Subscription Agreement caps how much your renewal can rise, up to 7 percent per year of the term when your previous charge was below the current list price.
That cap softens the increase on seats you already hold.
Two things the cap does not cover: new users added mid-term are charged at the list price from the day you add them, and the new Light User charge on login-less employee records applies at renewal.
So the protection helps on your existing full seats, but not on the employee-record charge that is new to everyone.

- Audit the Employees app– Find active employee records with no linked login. Archive anyone who has genuinely left or is no longer paid, since archived records are not counted. Do not archive current staff whose records support payroll.
- Reconsider giving login-less staff a login- If you are paying the Light fee for their record anyway, a login lets them manage their own leave, expenses, and attendance, so you get value for the charge.
- Find full users who could be Light– List people who only scan stock, log time, or file expenses, test their tasks against the Light limits, and reclassify them before renewal.
- Review access rights as a billing control- One stray core-app permission turns a Light User into a full one. Check rights whenever a role changes.
- Check whether you still need the Custom plan- If you do not use custom code on Odoo.sh, Odoo Studio, or external APIs, the Standard plan may meet your needs at a lower rate.
