Trearc Brands, Inc. is a US-based commercial furniture manufacturer producing custom-configured seating and upholstered products. Each order combines multiple components, fabric grades, foam options, and finish materials, with production and LTL freight driven by those configurations.

Trearc’s operating model required an ERP capable of unifying sales, configuration, procurement, manufacturing, delivery, invoicing, and finance, without the customization burden accumulated on its previous platform.

Phase 1

Migration Strategy

Trearc was migrating from a heavily customized Odoo v11 Enterprise environment where prior customization had made upgrades costly and slow. The Odoo 18 implementation was scoped from day one with future migration in mind.

Key focus areas:

  • Customization minimization – every requirement was first evaluated against Odoo 18 standard capabilities and configuration. Custom code was introduced only where standard behavior could not meet a business-critical need.
  • Spreadsheet-based reporting – reports that historically would have required custom development were delivered using the Odoo Spreadsheet module, keeping them upgrade-safe.
  • Lean data migration – only essential data was migrated from v11: closing accounting balances and open Sales Orders. Historical transactions stayed in the legacy system for reference, keeping the new environment clean and accelerating cutover.

The result is a Trearc-fit Odoo 18 environment with a substantially smaller customization footprint than the v11 system it replaced, positioning Trearc for lower-cost upgrades in future release cycles.

1 CPQ Implementation & Customization

Problem Statement

Trearc had no CPQ system in place, sales teams configured products manually, which slowed quoting and created pricing inconsistencies across customer-facing documents.

But, after deploying Aktiv CPQ as the quoting backbone, additional friction points specific to Trearc’s high-volume attribute lists needed to be addressed:

  • Variant pricing on the Product page did not always match the CPQ screen
  • Component names, attribute names, and confirmation marks pushed onto Sales Order lines by default 
  • Verbose, hard-to-read descriptions on customer-facing documents and Manufacturing Orders

  • Inline search inside the “Select” dropdown with case-insensitive partial matching, other display types unchanged 
  • Variant price computation synchronized between Product page and CPQ screen 
  • Simplified product descriptions on Sales Order lines with consistent formatting carried into Manufacturing Orders

2 Variant-Level Vendor Management

Problem Statement

Trearc’s products use variants often sourced from different vendors. Default Odoo limited vendor assignment to the template level, which meant:

  • Incorrect vendors appeared on POs generated from reordering rules
  • Purchasing teams had to manually override vendor assignments on every cycle
  • Constant risk of POs raised against the wrong supplier
  • Variant-level procurement automation was effectively blocked

Solution

Aktiv Software extended vendor assignment to support variant-level vendors without disrupting standard reordering logic. A new “Vendor on Variants” boolean was added on the Product Template’s Purchase tab to control behavior:

  • When disabled (default): each variant carries its own vendor and takes precedence on PO generation
  • When enabled: the template-level vendor applies uniformly

3 Unified Order Information Architecture

Trearc’s commercial workflow depended on reference fields and operational dates that had to flow cleanly across documents, but standard Odoo did not deliver this:

  • Customer Reference, SO Number, Customer Number, Dealer PO buried in “Other Info” or omitted entirely
  • Ship Date, Cut Date, Fabric Received, Foam Ordered not natively tracked
  • Constant tab-switching during order entry
  • No production planning visibility on Sales Order list views
