As their community continues to grow, FES needed a more structured and intelligent way to manage their customer and member ecosystem within Odoo.

FES partnered with Aktiv to build a tailored contact-management workflow inside Odoo, one that reflects the complexity of their customer segments, approval processes, and membership hierarchies. The goal is to ensure that every customer profile is captured accurately, approved systematically, and linked to the right pricing, company, and ordering logic. 

Aktiv’s understanding of custom business workflows in Odoo allowed FES to redesign their Contacts module into a controlled, rules-based system that reduces manual work and aligns with how they operate.

  • No structured way to manage different contact types such as wholesalers, practitioners, members, etc. 
  • Manual approval required for validating new contacts submitted via website forms 
  • Difficulty managing different required fields and compliance information for each contact type 
  • Need for assigning specific price lists and company associations based on customer classification 
  • No smooth workflow for upgrading a customer profile (e.g., Member → Practitioner) 
  • Lack of connection between web forms, internal approvals, and Odoo’s contact creation 

These gaps resulted in inconsistent customer data, manual verification overhead, and missing links between customer type and pricing.
