Odoo 14 Events Module to Schedule & Track Corporate Sessions Efficiently

Be it a senior or junior employee, everyone at Aktiv takes responsibility to contribute to the learning channel. Every week employees from different departments organize various technical, functional, and knowledge-sharing sessions for their peers.

Following the regular occurrence of the sessions, we had to develop a solution that could help employees and the management approve and invite attendees without bothering their time and efforts.

Therefore, we decided to implement the Odoo 14 Events Management module to calendarize training sessions effectively.

Upon regularization of training sessions, we decided to have these records saved somewhere. And what could be better than the Odoo Event Management module for handling events of any type or scale?

But the default Odoo 14 Events module was developed to serve event planning for external audiences and attendees from ticket sales to visibility and promotion.

On the contrary, the requirement for internal employees was a bit different. We wanted to help the organizer and attendees to get a clear overview of:

  • how many sessions are lined up, by whom, and when?
  • How many employees are attending those sessions?
  • Build a repository of previously held sessions to avoid overlap.
  • Session-wise rights allocation to team leaders and their members.
  • Display event status accordingly(draft/requested/booked/announced/completed/cancelled).
  • Email automation for past and upcoming sessions.

Custom Odoo 14 Event Management for Employees  

At Aktiv, we have directors, managers, team leaders, and developers participating and attending various training and informative sessions. We have managed access rights and record rules based on multiple approval channels set for the organizer and attendees.

Odoo Events Module features customized for managing organizational sessions:

  • User (Developer) will create an event and send a session request to their respective team leader. The approval channel is managed as per the seniority and designation of the organizer.

  • Post submitting the event/session, their TL will receive an email with a session request. The accountable members will approve or disapprove of the session request.

  •  If disapproved, the manager/director/team leader has to mention the reason, and the custom Odoo Events module will automatically email the organizer who requested the session.
  • If approved, TL/Manager/Director will book a session. While booking the session, an email will be sent to all members from the same/all departments.
    • E.g., If a session is created for Odoo’s department, it will be sent to all Odoo department members, and if the session is created for all departments, then everyone will receive an email for that session.
  • Post the session is booked, team leaders will invite respective team members to attend the event.
  • If seats are limited for the event, then team leaders can set priorities for their members.

  • The session’s team leader will confirm the final attendees once submitted by other team leaders.

  • The organizer’s team leader will announce the event through an automated email sent to all the confirmed attendees and their team leaders in the cc list.
  • Session reminders will be sent one day before the event to all confirmed attendees and their team members.
  • Upon completion of the event, an automated email will be sent to all participants to submit their feedback if they had attended and if not, they have to submit a reason for their absence.
  • If by any chance, the session’s team leader calls off the event, then they will need to mention a reason for cancelling the event, and an automated email will be sent to all the confirmed attendees.
